SummaryPosition is located in the Hampton Veterans Affairs Medical Center, Office of the Director. Primary purpose of the position is to function as principal secretarial/office management, performing secretarial, administrative, and coordination duties which are auxiliary to and support the work of the Medical Center Director and executive staff, and as such is the principal administrative professional of the organization operating independently of any other such position in the organization.ResponsibilitiesMaintains timecards for staff members when needed. Receive telephone calls and greet visitors to the office. Make arrangement for travel, meetings, and community activities. Act as liaison to other managers and staff within the organization and provide accurate advice on procedures, reports, requirements, and other matters necessary. Take notes and transcribe personal and telephone conversations. Review communications and develop standard paragraph and form letters. Receive and process all correspondence and documents transmitted through the Mental Health office for review, approval, and signature. Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-9 position in this you must have served 52 weeks at the GS-8. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: For a GS-9, you must have one year of specialized experience equivalent to at least the next lower grade level, GS-8, in this OPM Group qualification standards in federal service. This experience must have equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically related to the work of the position. Examples of specialized experience are: Experience performing a variety of administrative work, which includes human resource management, budget, timekeeping, and travel duties; prepares and implements operating budget to include expenditures for travel, training, supplies, and awards; arranging travel; purchase cardholder for office supplies and other purchases; maintains spreadsheets of data; excellent communication skills with internal and external customers. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is normally sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
