Job Description:

The Bell Tower Team Office Manager is an individual who relishes the opportunity to build, implement, and manage multiple systems with minimal supervision. They are deeply committed to completing tasks the right way with a high degree of quality, attention to detail, and consistent communication. This person has immense focus and can do one thing for a long time without getting distracted. This individual may exhibit some drive and desire to influence; however, the overriding marker of their behavior is persistence and stability.

The Bell Tower Team Office Manager is deeply committed to supporting the lead agent and team in achieving greater and greater levels of success, and to growing their own skills and developing into a supportive leaders within the team. As the success of the team grows, this individual will be responsible for hiring, training, and leading additional team members to ensure all administrative tasks of the business continue to be completed to high standards with maximum efficiency.

Responsibilities:

Manage lower-level administrative employees and ensure office protocols are followed
Arrange for team meetings, appointments, and travel
Maintain office equipment and re-order supplies when necessary
Record all office expenses and invoices, complete basic bookkeeping tasks, and keep up with the monthly budget
--- Execute Lead Generation Systems, including daily, weekly, and monthly 36-Touch System to Sphere of Influence (SOI) Past Clients 18-Touch System to Geographic Farm and responsible for obtaining target conversion rates in accordance with the MREA Lead Generation Model. Includes design, preparation, and execution of monthly postcard mailers, email nurture Smart Plans, and client parties. Work with agents to ensure the Database is accurately maintained and grown monthly
--- Design, prepare, and print deliver listing flyers, brochures, and buyer-seller information packages. Manage social media pages and content postings
--- Manage Key Performance Indicator (KPI) Metrics Tracking system for the team. Manage and maintain the listing and buyer pipelines as well as goal tracking systems
--- Manage the referral program. Maintain the referral relationships by mailing personal cards at the beginning of the transaction and post-closing. Sending special client care cards and gifts for birthdays and special occasions
--- Manage online reviews. Responsible for asking for and obtaining 5-star Zillow reviews post-settlement
--- Build, implement, and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support for an efficient, client-focused, and profitable business. Create and maintain an operations manual that documents all systems and standards. Coordinate the purchase, installation, and maintenance of all office equipment. Responsible for information management
--- Lead Admin Operations division - Responsible for hiring, training, consulting and holding accountable all future administrative team members
--- Responsible for all customer/vendor relations
--- Keep the lead agent informed regarding any problems or issues that need to be handled
--- Onboard future Agents Staff per onboarding/offboarding checklist systems
--- Oversee team morale/family/team building activities/events
--- Other duties and responsibilities as assigned

Qualifications:

--- Bachelor's degree
--- Real estate transaction/listing management experience is a plus
--- A real estate license is a plus, not required
--- Real Estate Photography experience is a plus
--- 3 - 5+ years of service, marketing, management & administrative experience
