Benefits Assistant – University HR Department Norfolk, VA |
Monday–Friday, 8AM–5PM Pay: $22.30–$26.30 per hour PeopleShare is
seeking a Benefits Assistant to support the employee benefits area
for a prominent university in Norfolk. This role is ideal for
someone who is detailoriented, customerfocused, and comfortable
handling confidential HR information. Job Responsibilities The
Benefits Assistant will: Benefits Administration Serve as the first
point of contact for benefits inquiries from employees. Provide
information on health insurance, retirement, disability, and other
benefit programs. Assist new hires and current employees with
completing benefits forms and documentation. Accurately enter
benefit selections into the HR system (Cardinal HCM) within
required timelines. Support open enrollment activities and
communicate benefit changes. Prepare and send FMLA notices;
maintain required documentation. Manage shortterm and longterm
disability processes, including: Sending required documents
Maintaining medical folders Communicating with thirdparty
administrators (ALIGHT/UNUM) Updating benefit activity logs Work
with Payroll to reconcile Virginia Retirement System (VRS) data and
resolve discrepancies. Administrative Support Maintain benefits
records, tracking logs, and filing systems. Prepare orientation
materials and assist with new hire onboarding. Respond to employee
questions via phone, email, and in person. Assist with special HR
projects such as Benefits Fairs and Employee Service Awards. Ensure
confidentiality and accuracy in all documentation. Stay current on
HR processes, benefit policies, and regulatory updates. Minimum
Qualifications High school diploma or equivalent (Associate’s
degree preferred). Experience in benefits administration or human
resources. Ability to interpret and follow university and state HR
policies. Strong organizational skills and ability to manage
multiple tasks. Excellent customer service and communication
skills. Ability to work independently with sound judgment, tact,
and discretion. Proficiency with Microsoft Office (Word, Excel).
Experience using HRIS systems (any platform; Cardinal, Access, or
similar preferred). Ability to maintain confidentiality and handle
sensitive information. Comfortable working in a fastpaced
environment with frequent deadlines. Preferred Qualifications
Experience in higher education or a Virginia state agency. Prior HR
administrative experience. Experience supporting benefits,
onboarding, or employee services. PeopleShare is the leading
