The primary purpose of this position is Incumbent serve as the principal administrative/protocol assistant and personal secretary to the director of Logistics. The organizational location of this position is: HQ ACC/A4, 130 Douglas Street, Ste# 210 Langley AFB, VA, The directorate determines logistics requirements for Air Combat Command. Responsibilities Any stenography or reporting work using manual or machine-written symbols or closed microphone reporting. Any work related to processing and routing incoming and outgoing materials. Materials include such items as correspondence, reports, memoranda, and other forms of written communication Any work involving scheduling appointments, arranging travel, coordinating meeting arrangements, and/or scheduling conferences. Any work related to editing letters, composing letters and reports; reviewing correspondence for accuracy and completeness; preparing public presentation outlines; and developing standard or form letters and replying to inquiries. Any work related to monitoring and reporting time and attendance or budgets which include the preparation of materials for the supervisor's use. Uses office automation software to perform basic functions such as word processing, electronic mail and/or update of data in electronic files. Uses a variety of types of software to produce final products. Any work related to receiving, scheduling, referring, and contacting members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public. Requirements Conditions of Employment Qualifications In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions. SPECIALIZED EXPERIENCE: I have the quality level of experience which demonstrates the possession of the knowledge, skills, abilities, and competencies necessary for successful job performance required for this position. Examples of creditable experience include: knowledge of extensive body of rules, procedures, or operations requiring extended training and experience in order to perform a wide variety of interrelated or non-standard procedural assignments and resolved a wide range of problems. Knowledge of the duties, priorities, commitments, policies, and program goals or the staff sufficient to perform non-routine assignments. Knowledge sufficient to recognize which information is or is not relevant to the problem at hand. Knowledge required to coordinate the work of the office with the work of the other offices and for recognizing the need for such coordination in various circumstances. FEDERAL TIME-IN-GRADE (TIG) REQUIREMENT FOR GENERAL SCHEDULE (GS) POSITIONS: Merit promotion applicants must meet applicable time-in-grade requirements to be considered eligible. One year at the GS-07 level is required to meet the time-in-grade requirements for the GS-08 level. TIG applies if you are in a current GS position or held a GS position within the previous 52 weeks. NOTE: Applicants applying as VEOA candidates who are current GS civil service employees or are prior GS civil service employees within the past 52 weeks must also meet time-in-grade requirements. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: 1. Skill in taking and transcribing dictation is required. A qualified stenographer is required with a minimum proficiency of 80 WPM. Ability to compose non-technical correspondence. Knowledge of office automation systems including several types of software. 2. Knowledge of spelling punctuation, syntax, and required formats sufficient to identify and correct discrepancies in correspondence and reports. Skill of a qualified typist is required. A minimum of 40 WPM proficiency is required. Ability to communicate orally, personally provide information from files or records; advise on established procedures 3. Knowledge of the organization and its functions sufficient to process incoming and outgoing mail. Ability to organize effectively the flow of clerical work and processes in an office. Knowledge of the duties, priorities, policies, and program goals of the supervisor and staff to review correspondence for conflicts or departures form policies. 4. Knowledge of common clerical practices and office routines to refer visitors and callers; route correspondence by name or functional area; obtain requested material from files; and keep time and attendance records. Ability to make arrangements for such things as travel, conferences, and meetings. 5. Ability to coordinate the work of the office with other offices, including advising secretaries, or other clerical staff, in subordinate offices on new procedures or regulations, and on information to be provided for use in conferences and reports. Knowledge of the function of the organization sufficient to screen requests for information; 6. Knowledge of common clerical practices and office routines to refer visitors and callers; route correspondence by name and functional area; obtain requested material from files; and keep time and attendance records. Ability to locate and assemble information for various reports, briefings, and conferences, and handle personally or refer non-routine requests t the appropriate staff member PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Education ********************ADDITIONAL INFORMATION FOR ACTIVE DUTY SERVICES MEMBERS******************** ACTIVE DUTY SERVICE MEMBERS: The VOW Act requires federal agencies to treat an eligible active duty service member as a veteran, disabled veteran, and preference eligible (as applicable) when applying for civil service positions before the effective release or discharge date. Appointment of military members before the release or discharge date is permissible if the member is on terminal leave. At the time the active duty member applies for a civil position, he or she must submit a "certification" memo in lieu of a DD-Form 214, Certificate of Release or Discharge from Active Duty. Active duty members applying for a civil service position without submitting a valid certification memo or DD-Form 214 with their application will render the member ineligible for the position. The certification memo must originate from the member's military service branch on official letterhead and contain the following: Name/Rank/Grade of Service Member Branch of Armed Forces Dates of Active Service (Start and End Date(s) Expected Date of Discharge/Release from Active Duty Terminal leave start date (if applicable) Expected character of service/discharge and type of separation (i.e. separation or retirement) Must be certified within 120 days of anticipated discharge Signature by, or by direction of the adjutant, personnel office, unit commander, or higher headquarters commander. Note: The VOW Act provides tentative preference. If appointed, a DD Form-214 must be submitted upon receipt.
